Outlook protects your privacy by blocking the download of external content (“web bugs“) by default. You can easily change this setting if you prefer to download everything at once.

As the image placeholder says, you can right-click on any image to download the images for the message.

If you want to change your settings to always download blocked content, you can access the settings one of two ways: the long way is through File, Options, Trust Center (Outlook 2010), Tools, Trust Center (Outlook 2007). Or use the shortcut: right click on the text in the Infobar in the message header, just under the subject and sender:

When you right-click on the Infobar, an expanded menu opens, with an option to change the automatic download options:

When you select Change Automatic Download Settings, the Trust Center dialog opens to the Download Settings page:

My preference? The default settings. If I’m interested in an offer from the advertiser, I will show the images, otherwise I do not need to see them. Few, if any, of my friends embed external content in their messages so only content from advertisers is blocked by default.

There are two benefits to blocking content (usually images and style sheets) all the time. The first is that the sender can’t tell for sure if you read the message because they don’t get any tracking information back. Secondly, if you are working offline or have a slow connection to the internet, you can read these messages faster since you don’t have to wait for the images to load. Assuming, of course, that the sender included more than images in the message.

Why deal with email servers, installation costs, software upgrades and all the other issues involving email systems?

For most businesses, email is a very important function for communicating with customers, colleagues and partners. In some cases, it’s mission critical – email downtime, even for an hour, can cost the company thousands of dollars. So, how do companies deploy and more importantly maintain an email system without spending thousands of dollars in hardware, software and redundant systems? The answer is Trinity Networx, LLC Hosted Exchange.

Enterprise Grade Email and Collaboration

Trinity Networx Cloud Hosted Exchange is more than just email. You get contact and task management, shared calendaring and group scheduling, distribution lists, web calendar subscriptions, public folders and much more. The service includes email licenses for either Outlook or Entourage.

Access Email Anytime, Anywhere

When traveling or away from your own computer, you can access your email, calendar, tasks and global address book anytime, anywhere via a browser and Outlook Web Access. In addition, with our wireless email synchronization you can stay productive on any PDA or smartphone, be it a Blackberry, Palm, iPhone or other mobile device.

Security, Redundancy and Peace-of-Mind

Your Trinity Networx Cloud Hosted Exchange environment is housed in four tier-4 data centers in a fully clustered environment and is always backed up. The data centers are SAS 70 Type II, HIPPA, SOX, SEC, GLBA, FINRA and FRCP compliant, so there are multiple levels of digital and physical security. The infrastructure has redundant power, internet connections and failover capabilities so you have 99.999% uptime with your email.

How it Works

Trinity Networx simply sets up your mail domain in our Hosted Exchange environment, configures your organization’s settings, and then synchronizes with your Directory. The email client is then downloaded and set on your user’s computers (PC or Mac). You can be up and running in no time on Hosted Exchange.

Trinity Networx can also move mail from your existing mail system to our Hosted Exchange Service. So contact Trinity Networx to learn more about Cloud Hosted Exchange.

While many businesses prefer to rely on their own internal departments when it comes to managing IT issues, there are several undeniable benefits of turning to managed service providers.

Managed service providers generally have an advanced set of tools and skillsets at their disposal in order to solve problems and issues quicker and more effectively than internal IT departments. They are also given insight to data that can be invaluable for their clients. The majority of IT departments are focused on fixing a problem as quickly as possible, while managed service providers can look at the entire system as a whole from an informed outsider’s point of view, and as a result, gain access to a range of information that can result in added benefits for a company.

The following are several benefits of using managed services:

1 –Efficiency – Managed service providers apply a “firefighting method” of tracking issues and responding to them immediately. When there is a fire, you call a fire department that has an advanced set of tools and skills that have been made specifically to resolve the issue as quickly as possible. Businesses that employ the use of managed services are delightfully surprised at how efficient user problems can be instantly tracked and remediated.

2 – Less Downtime and Risk – Due to the superior tools available to managed service providers, the majority of potential problems are prevented before they even occur. This means that there is less downtime.

3 – Important and Beneficial Data – Managed service providers are constantly monitoring the performance of their clients’ files, network, bandwidth and database. All of this information is stored meaning that clients can go back and use it as a means of analyzing trends, enabling them to make better informed decisions.

4 – Custom Dashboards – Clients have access to all of their historical data through a client portal. In addition to this, each dashboard can be customized according to the needs of each person in a company. CEOs, for example, may wish to have an indicator on their dashboard when something is amiss in the system.

5 – Patch Management – The majority of IT departments are far too busy handling issues that require immediate attention, meaning that patch management is not given the attention it requires. As a result, businesses are at risk for security vulnerabilities and downtime. Managed service providers manage patches continually, thereby eliminating potential risk down the line.

6 – Periodic Reviews – Managed service providers offer clients periodic reviews which demonstrate where systems are most at risk and how issues can be prevented in the future. Rather than tackling problems only as they come, managed service providers have their eye on your system at all times and can help their clients better understand their infrastructure.

The above are just several of the benefits that come with employing the use of a managed service provider. Contact Trinity Networx, LLC and find out how we can help improve your business.

Do recipients of your emails, seemingly out of the blue, complain about a mysterious attachment called “winmail.dat” (of the evermore mysterious content type “application.ms-tnef”), which they cannot open, no matter what they try? Do files you attach disappear in that winmail.dat moloch? Does winmail.dat show up for some but not all recipients of your message?

When, How and Why Winmail.dat-Application.MS-Tnef is Created

It’s Outllok’s fault, in a way. Or the recipient’s email client’s. If Outlook sends a message using the RTF (which is very common outside Outlook) for bold text and other text enhancements, it includes the formatting commands in the winmail.dat file. Receiving email clients that do not understand the code therin display it as a stale attachment. To make matters worse, Outlook may also pack other, regular file attachments in the winmail.dat file.

Fortunately, you can get rid of winmail.dat alltogether by making sure Outlook does not even try to send email using RTF.

Prevent Winmail.dat Attachments from Being Sent in Outlook

To prevent Outlook (2003) from attaching winmail.dat when you send an email:

1. Select Tools, Options from the menu

2. Go to the “Mail Format” tab and ensure either “HTML” or “Plain Text” is selected.

3. On the “Mail Format” tab, select the “Internet Format” button and ensure that either “Convert to Plain Text Format” or “Convert to HTML Format” is selected. Click OK, then OK again.

We have become a Intel Hybrid Cloud Partner. What does this mean for the small businesses?

Small businesses can now acquire leading, robust solutions and have the ability to compete more effectively. Now you can afford the same kinds of full featured services and solutions large companies use which will help you stay competative and efficient. Streamline your company’s operations with centralized file sharing and printing, e-mail, Internet connectivity, and the ability to create intranets. This helps you and your staff to easily share thoughts, ideas, calendars, and experiences, increasing your ability to seize opportunities. All this runs on an Intel Xeon processor-based server for fast and reliable operation.

Pay for software on a monthly usage basis. Don’t get stuck with software for which you’ve had to make a huge investment to purchase up-front. Your monthly costs relates to the number of users, offering a predictable, manageable and affordable way to pay for software. You can grow or reduce monthly software as business conditions adn the number of users change.

With Trinity Networx, LLC as your Managed Service Provider, we can remotely manage the server and solutions which are on-site at your office, you can focus on your business rather than on IT concerns. No more spending time and money setting up new users and acquiring their software licenses or managing hard drives, software updates, security, patch management and installations.

Conserve capital and credit lines by paying for solutions only as needed. Pay for your server(s) and solutions on a monthly basis. This can save you thousands of dollars in up front costs and significant hours figuring what solutions fit together.
